Sharing Confidential Documents and Folders

Sharing Confidential Files

In many organizations you need to share sensitive and confidential documents, files, and complete folders with certain individuals or  team members.

PQVault's Shares

With PQVault you can share each encrypted file or folder individually with other individuals. They are then able to decrypt the document or folder. You can change or revoke sharing policies any time. You can also require a 2FA code or a self-defined password for decryption. Furthermore, you can additionally define teams in order to simplify the process of granting decryption permissions. Participants can be included or excluded at any time.

Allow specific parties to access your confidential files

Giving specific users access to your files is a basic requirement for sharing files to only authorized users. PQVault’s encryption service and share policies can help you achieve that e.g. via the SDK as follows. With the UI it is even easier with a few clicks:

  1. Create share(s) and assign them policies based on who you want to share your confidential files with
  2. The share policy “AllowedUse” should have the ID or email of the users, teams or apps you want to share your files with. This policy allows defined entities to be able to decrypt the specified data.
You can additionally require a 2FA code to be entered by the individuals prior to decryption.
  3. PQVault will filter out any decryption requests for entities who are not defined in the policies

Block certain parties from accessing your files

Blocking access for specific users can be an easy and fast way to share your files for a large group of people excluding certain users. Some users’ accounts may be compromised and their access to these important yet private files need to be explicitly blocked to make sure no unauthorized parties have access to it. The following steps is helpful to block any entities to access any files under a share:

  1. Create share(s) and assign them policies based on who you want to block your confidential files from
  2. The share policy “Blocked” should have the ID or email of the users, teams or apps you want to block.
  3. PQVault will filter out any decryption requests for entities who are defined in the policies

Allow other users to manage your shares

In a large organization, the amount of confidential files will be too large for just a person to handle. It is wise to assign rights to edit policies of a share to your trusted personnel or organization’s administrator. PQVault offers you a method to do so:

  1. Create share(s) and assign them policies based on who can edit those policies
  2. The share policy “AllowedPolicyEdit” should have the ID or email of the users, teams or apps you want to give policy edit rights to
  3. Any users who are defined in the policies are permitted to edit the policies assigned to the share
